Pipedrive alternatives: five options, and exactly what you give up with each
Pipedrive is the tool small sales teams graduate to, and the reasons to leave it are usually not about features. They are about price per seat in euros, no free plan, and an interface that assumes you sell the same way twice. Here are the five alternatives worth the migration, each with the specific capability you lose. If none of those losses are acceptable, the honest advice is to stay.
What you are actually leaving behind
Before comparing alternatives, name what Pipedrive does that the others might not: activity-based selling with a next-action discipline, rotting-deal alerts, stage-based forecasting, and a pipeline view that a non-salesperson understands in a minute. Most of the list below trades one of those away.
The five alternatives
- Streak — $49/seat/month (Pro). The closest philosophical alternative: pipelines inside Gmail. You lose standalone reporting depth and gain the fact that nobody has to open a second tab. Note the tiering rule: the whole team shares one plan, so a five-person team is $245/month, and the free plan has no pipelines at all. Read our Streak pricing breakdown and the direct comparison.
- HubSpot — free for 2 users, then per-seat Starter. If the reason you are leaving Pipedrive is "we also need marketing email and forms," HubSpot is the only option that removes an entire tool from your stack. You lose Pipedrive's pipeline discipline and gain a platform. Be aware the Professional tier has no published price — see our comparison for why that matters.
- ClickUp — free, then $9/seat/month. If your deals are few and your delivery work is heavy, one tool holding both is worth more than a better CRM. You lose email sync quality and sales reporting; you gain unlimited free members while you trial the idea.
- systeme.io — free, then $17/month flat. The cheapest way to hold a pipeline plus the rest of a one-person business: funnels, email, courses, 0% transaction fees. You lose real CRM sophistication (1 pipeline on free, 5 on Startup) and gain a flat price that does not scale with headcount.
- Notion — free for individuals, $10/seat/month for teams. A database with stages and a linked notes page. You lose automation and email sync entirely, and gain total control over the shape of the data. Works for consultative selling where each deal needs a document more than a stage.
Cost at 5 and 20 seats (annual billing)
| Tool | 5 seats | 20 seats | Cost model |
|---|---|---|---|
| Pipedrive Growth | €195/mo | €780/mo | Per seat, in EUR |
| Streak Pro | $245/mo | $980/mo | Per seat, uniform tier |
| ClickUp Core | $45/mo | $180/mo | Per seat, USD |
| Notion Plus | $50/mo | $200/mo | Per seat, USD |
| systeme.io Unlimited | $97/mo | $97/mo | Flat, unlimited contacts |
The spread at 20 seats is more than 8×. That is the entire argument for considering alternatives at all — but only if the cheaper tool survives your actual process.
What the migration actually costs you
- Field mapping is where migrations die. Pipedrive's default fields (deal value, probability, expected close, lost reason) map cleanly to most CRMs. Custom fields, notes and activity history usually do not. Export CSV first and count the columns you would lose.
- Email history rarely transfers. If your deal context lives in synced threads, an inbox-native tool is the only category that preserves it without re-syncing.
- Two weeks of reduced selling. Do not migrate mid-quarter. This is the cost nobody budgets for and the one that makes teams go back.
Who should stay on Pipedrive
- Teams with a repeatable multi-stage sale. Nothing on this list forecasts as plainly.
- Teams where a manager reviews pipeline weekly. Pipedrive is built for that ritual; the alternatives require you to build it.
- Anyone who needs the price before a sales call. Pipedrive publishes every tier and every add-on. That is worth a premium to some buyers.
Who should leave
- One and two-person teams. Pipedrive has no free plan and a 14-day trial. A solo consultant should not be paying €14/seat to start.
- Teams whose real problem is delivery, not sales. Buying a CRM to organise project work is the most common misfire in this category.
- Teams that need marketing email in the same system. Pipedrive Campaigns at €13.33/month is an add-on, not a marketing platform.
What we cannot verify
Prices and plan limits above come from each vendor's pricing page, verified October 23, 2026, and we re-check quarterly. Pipedrive and Streak price in different currencies (EUR and USD as displayed); we have not normalised them for exchange rate, so the table compares nominal figures, not converted ones. Our hands-on testing cycle is in progress — we have not performed a real data migration between these systems, so we cannot report measured import fidelity, downtime, or support quality during a migration. Those findings will be added per our How We Test process.
