HubSpot vs Pipedrive: what a small team actually needs
This comparison usually gets written as "HubSpot is more, Pipedrive is focused." That is true and unhelpful. The decision is about a specific threshold: HubSpot's free CRM is genuinely good, its Starter tier is genuinely cheap, and its Professional tier is a cliff you cannot see from the pricing page — because it no longer has a published price. Pipedrive publishes everything. That transparency difference is the story.
Short version
- Choose HubSpot if you need CRM plus marketing plus forms plus a website in one system, you are small enough for Starter, and you accept that growth will eventually mean a sales conversation rather than a checkout page.
- Choose Pipedrive if sales is the job, you want to know the price before you commit, and you would rather buy a focused CRM than a platform you use 20% of.
- Choose neither if your "CRM" is currently a spreadsheet with 40 rows and one person maintaining it — see our Gmail as a CRM piece first.
What we could actually see on the pricing pages
| Tier | HubSpot | Pipedrive |
|---|---|---|
| Free | Yes — up to 2 users, full free CRM tools | None — 14-day trial |
| Entry | Starter, per seat/month, annual billing (we were shown SGD 10 annual vs SGD 28 monthly) | Lite €14/seat/mo annual |
| Mid | Professional — no published price; "Talk to Sales" | Growth €39 · Premium €59 |
| Top | Enterprise — quote only | Ultimate €79 |
Two honest notes on that table. First, HubSpot served us Singapore-dollar pricing because of geo-detection, which is itself worth knowing: the price you see depends on where the request comes from, and the annual-versus-monthly gap on Starter was roughly 2.8×. Second, when we requested the Professional page, it served the same free-tools page with a sales contact form. We are not going to invent a number for it.
Pipedrive, by contrast, publishes every tier and every add-on: LeadBooster €32.50, Campaigns €13.33, Projects €16, Web Visitors €41, Smart Docs €32.50. Full detail in our Pipedrive pricing breakdown.
The hidden cliff, and why it matters
For a small team, HubSpot's structure is: free, then cheap, then unknown. That middle-to-top jump is where most HubSpot regret originates — not because the price is unfair, but because it is discovered late, after workflows, forms and reporting have been built on the platform.
Practical consequences for a 5–20 person team:
- You cannot budget year two from the website. You can budget Pipedrive's year two from its pricing page.
- Procurement becomes a negotiation. That is fine for a company with a buyer; it is friction for a founder who just wants to pay with a card.
- Migration cost rises with usage. The longer you stay on free and Starter, the more expensive leaving becomes — which is the point of a platform strategy, and you should price it in.
We are not claiming HubSpot's Professional tier is overpriced. We are claiming you cannot evaluate it without a sales call, and that a review site which prints a made-up number is worse than one that says so.
Where HubSpot wins
- The free CRM is real. Contacts, companies, deals, tasks and email tracking for two users at $0. Very few products give away something this complete.
- One system, one data model. Marketing email, forms, landing pages, live chat, tickets and deals sharing the same contact record. For a small team, that coherence removes a whole category of integration work.
- Starter is a genuine bargain at the annual rate for what it bundles — five hubs, 1,000 marketing contacts, 500 credits, branded-but-functional email and landing pages.
- Ecosystem gravity. Every agency, contractor and consultant you hire will know HubSpot. That lowers your training cost in a way that is hard to quantify and easy to underestimate.
Where Pipedrive wins
- Published prices, all the way up. €14 to €79 per seat, add-ons listed with numbers. You can build a three-year budget in ten minutes.
- Sales-first design. Activity-based selling, rotting-deal flags, stage-based forecasting. It is a tool for closing, not for hosting a website.
- No email-send and contact-count metering. HubSpot Starter's 300 monthly email sends and 1,000 marketing contacts are the kind of limit that surprises people in month three. Pipedrive does not sell email that way.
- Cheaper at the point of real use. A five-person team on Pipedrive Growth is about €195/month, all in. The equivalent HubSpot capability sits above Starter, behind a quote.
A decision rule that holds up
- Do you need to send marketing email from the same system? Yes → HubSpot Starter, and plan the exit ramp. No → Pipedrive.
- Is 2 users enough for now? HubSpot free will carry you further than most people expect, and it costs nothing to find out.
- Do you need a forecast a bank or investor will read? Pipedrive's reporting is narrower but its pricing and pipeline logic are legible to a non-salesperson. HubSpot's is better once you pay for Professional, which you cannot price today.
- Are you in Europe? Pipedrive prices in euros, which removes a currency line from your budget.
What we cannot verify
Plan limits and prices above come from both vendors' pricing pages, verified October 23, 2026, and we re-check quarterly. HubSpot's figures were served in SGD due to geo-detection, and we could not obtain a published Professional-tier price at all — the page routed us to a sales form, so we have deliberately left that tier unpriced. Pipedrive's figures are in euros. Our hands-on testing cycle is in progress: we have not migrated a real pipeline between these systems, so we cannot report measured setup time, data fidelity after import, or support quality. Those findings will be added per our How We Test process.
