Free CRM alternatives to HubSpot: five that are actually free, and when free stops working
HubSpot's free CRM is the default answer to "we need a CRM and have no budget," and it is a good answer — for two users. The moment your team is three people, you are either paying or looking elsewhere. Here is what the credible free options actually permit, and the honest point at which each one stops being free in practice.
First, what "free" tends to mean
Free CRMs fail in one of four ways. Knowing which way matters more than the feature list:
- Seat caps — free for 1 or 2 users only (HubSpot).
- Feature withholding — the CRM exists but pipelines do not (Streak's free plan).
- Volume caps — free until N contacts or N records.
- Branding and export limits — free but visibly not yours, or hard to leave.
The five worth considering
- HubSpot Free — contacts, companies, deals, tasks, email tracking, shared inbox basics. 2 users. This is the most complete free CRM in existence and the seat cap is the only reason to leave. If you are a founder plus one, stop reading.
- Streak (free tier) — lives inside Gmail, which means zero adoption cost. The catch is structural: no pipelines on the free plan. You get thread tracking and reminders, not a sales process. Useful as an inbox layer, not as a CRM replacement.
- systeme.io Free — a different category of free. 2,000 contacts, 1 pipeline, 3 funnels, unlimited emails sent, 0% transaction fees. The CRM is one module of five, so the pipeline is basic — but for a one-person business selling a product, this free tier covers CRM, email and checkout together.
- Notion Free — not a CRM, and often the right answer anyway. A database with stages, a last-contact date and a linked notes page will run a 20-deal pipeline. Free for individuals, and the honest limit is discipline: nothing prompts you to follow up.
- ClickUp Free — unlimited members, which is unmatched. A "Deals" list with status groups is a legitimate lightweight pipeline, and you can put the proposal docs next to it. No email sync of substance, and 60 MB total storage.
Cost at the moment free breaks
| Tool | Free limit | First paid tier | 5-person team |
|---|---|---|---|
| HubSpot | 2 users | Starter, per seat, annual | Per-seat × 5, plus contact and send limits |
| Streak | No pipelines | Pro $49/seat/mo | $245/mo (uniform tier) |
| Pipedrive | None (14-day trial) | Lite €14/seat/mo | €70/mo |
| systeme.io | 2,000 contacts | Startup $17/mo flat | $17/mo, unlimited sub-accounts |
| ClickUp | Unlimited members | Core $9/seat/mo | $45/mo |
That table is the article. A five-person team's cheapest genuine CRM is not the one with the best free tier — it is the one whose first paid tier is flat or cheap. systeme.io at $17 flat and Pipedrive at €70 total both beat a per-seat tool that looked free for a month.
The trap: free tiers that cost more later
- Data you cannot take with you. Before you commit, export your contacts and deals and open the file. If the export is missing activity history or notes, the free tier is a lease, not a purchase.
- Free plans that shape your process. Building a pipeline around a tool's free-tier limitations means rebuilding when you upgrade. Design the process you want, then find the cheapest tool that supports it.
- "Free" that is a trial in disguise. Several CRMs advertise a free plan that is a 14-day trial with the countdown hidden. Read the plan name, not the badge.
Who should just pay
- You have more than two people selling. The coordination cost of a workaround exceeds €70/month almost immediately.
- Your deals are worth more than the subscription. If one closed deal pays for three years of Pipedrive, the free tier is a false economy.
- You need a forecast. Free tiers do not forecast. Spreadsheets pretending to be CRMs forecast worse than either.
Who should stay free indefinitely
- Founder-led sales with under 20 open deals. HubSpot Free or a Notion database will serve you for a year.
- One-person product businesses. systeme.io Free plus a discipline of tagging is a complete stack at $0.
- Anyone who has already abandoned two CRMs. A third paid CRM will not fix an adoption problem. Start free, or start with the inbox you already use — see our Gmail as a CRM guide.
What we cannot verify
Plan limits and prices above come from each vendor's pricing page, verified October 23, 2026; we re-check quarterly and several of these vendors change free-tier limits without announcement. Our hands-on testing cycle is in progress — we have not yet run a 30-day parallel trial across all five, so we cannot report measured setup time, real email-sync reliability, or export fidelity in practice. HubSpot's pricing was served in SGD due to geo-detection and we have not printed a USD figure. Those findings will be added per our How We Test process.
